Data use and user control

Your information is used only to carry out the work you choose.

This page explains what information Nexcorum may use, why it is needed, what the product can do with it, and how you can withdraw access.

A clear purpose

Information follows the task approved by the user.

Nexcorum needs enough information to prepare and repeat the work, show what happened, and keep the connection operating.

The user decides

You choose the account, service, files, folders or other resources involved in the task.

  1. 01

    The user starts it

An authorized user chooses to connect Google Workspace from Nexcorum.

  2. 02

    A task defines the use

The connected tool is used only when a supported task requires it.

  3. 03

    Prepare and review

The user or Visir prepares the task, and the user reviews the result before confirming it.

  4. 04

    Task control

Visir may prepare an inactive draft, but the user reviews and confirms it before conversion into an automation.

  5. 05

    Perform

Nexcorum performs only supported actions using the access available to the connected account.

  6. 06

    Activity can be reviewed

Available activity records help you understand what Nexcorum did and whether anything needs attention.

02

Connected services

What information each service may provide and why it is used.

The exact information depends on the service you connect and the task you approve.

01

Google Workspace

Google Workspace lets a task use only the email, calendar, spreadsheets, files, documents or presentations it needs, according to the work approved and the access granted.

Gmail

Email access is needed to detect and process relevant messages and to send or archive mail when the approved task requires it.

Detect incoming messages, read the message information needed for a task, send emails, and archive processed messages.

Google Sheets

Spreadsheet access is needed to read the relevant sheet and write the rows or cells specified by the task.

Detect rows, add information, and update information in compatible spreadsheets.

Google Calendar

Calendar access is needed to read event information and create events in the connected calendar.

Detect new calendar events and create events requested by a task.

Google Drive

Drive metadata access supports finding resources. File access supports files created, opened, or explicitly authorized for use with Nexcorum.

Find file and folder metadata, detect changes, and work with files or folders supported and authorized for the task.

Google Docs

File access is required for documents and templates used with the task. Templates or manually selected documents require an authorized resource.

Create documents, use authorized templates, replace text, and export documents as PDF.

Google Slides

File access is required for presentations and templates used with the task. Templates or manually selected presentations require an authorized resource.

Create presentations, use authorized templates, and export presentations as PDF.

02

Microsoft connections

Microsoft connections handle sending email and, separately, working with authorized Microsoft 365 files and documents.

Microsoft Outlook (SMTP)

The connected mailbox identity, recipients, subject, message body and delivery result.

Send email from the connected Outlook mailbox. This connection is separate from Microsoft 365 files and is not presented as reading Outlook mail.

OneDrive

File access is required to inspect and work with the OneDrive resources selected or registered for Nexcorum.

Find and register supported files or folders, detect new or changed files, upload supported content, and obtain file links.

Excel

The workbook must be available through an authorized OneDrive resource and the connection must include the required file permission.

Find workbooks, sheets, and tables; update information; add rows or sheets; create workbooks; and export supported workbooks as PDF.

Word

The document or template must be available through an authorized OneDrive resource and the connection must include the required file permission.

Obtain document links, create documents, create from an authorized template, and export supported documents as PDF.

PowerPoint

The presentation or template must be available through an authorized OneDrive resource and the connection must include the required file permission.

Find presentations, create presentations, create from an authorized template, obtain links, and export supported presentations as PDF.

Microsoft Teams

03

Communication

Communication services use only the destinations and messages needed to send the notices defined by the user.

Slack

The connected workspace, available destinations, the selected destination and the message prepared by the user.

Send operational messages to the Slack destination selected for the task.

WhatsApp Business Cloud API

The approved business number, recipient, message content and delivery result required by Meta.

Send business notifications through WhatsApp Business Cloud API. Personal WhatsApp accounts are not connected.

04

Advanced connections

These connections receive information from other systems or send approved information to services configured by the user.

Webhooks

Information another system sends to Nexcorum, or information the user asks Nexcorum to send to that system.

Start work from an external system or deliver approved information to another service.

Microsoft Outlook (SMTP)

The sending account, recipients, subject, message body and delivery result.

Send operational email through a compatible provider configured by the user.

05

Nexcorum

Visir and supported AI functions use only the information shared or authorized for the task in which they participate.

Visir

Written instructions, user answers, shared context, images, documents, audio, task-related information and authorized resources when applicable.

Understand what the user wants, request missing information, prepare a reviewable proposal or draft, and help explain activity when appropriate. Visir does not approve or start an automation by itself.

Nexcorum AI functions

Text, documents or other task information provided to a currently supported AI operation.

Extract, organize, classify, summarize, translate or prepare content when a compatible, approved task requires it.

Access permissions

A connected account does not give Nexcorum unlimited access.

The provider shows which permissions Nexcorum requests. Those permissions define the maximum access the user can grant; Nexcorum uses only implemented functions needed by the approved task, and the service can later be disconnected.

  • 01Connecting an account does not grant unrestricted access to all its information.
  • 02The provider shows the requested permissions before the user authorizes the connection.
  • 03The granted permissions establish the maximum access available to Nexcorum.
  • 04Nexcorum limits use to implemented functions needed by approved work, and the user can disconnect the service.

Information needed by the service

Nexcorum keeps the information required to operate, protect and explain the work.

This can include account details, task instructions, connections, authorized resources, subscription status, activity records and information voluntarily sent to support.

Connected information is not used to sell advertising profiles.

Nexcorum does not sell user data, turn private connected content into public content, or examine unrelated applications without a task-related reason.

You can stop the work or withdraw access.

Available controls depend on the connected service and the user role.

  1. 01Pause or remove automations.
  2. 02Disconnect Google Workspace, Microsoft connections or other services from Nexcorum.
  3. 03Remove access from the connected provider when needed.
